DocuWare Base Module
The DocuWare base module is designed to Capture, Index and Store Documents in a variety of formats. Documents can be scanned from hardcopy or imported as electronic files. Once captured into DocuWare, documents are placed in an electronic “in-basket” where they can be sorted or stapled together.

DocuWare provides several options for easily creating search indexes for organizing and retrieving documents later. The interface allows for manual data entry to create indexes, point and shoot OCR and the ability to import pre-defined indexes from data streams created by other business applications. The documents can then be quickly and safely stored in electronic file cabinets.

PC generated documents from programs such as Word, Excel and PowerPoint can easily be stored in a DocuWare file cabinet in support of other scanned documents. The base module also allows for E-mail messages to be indexed and stored automatically into a file cabinet. The TIFFMAKER functionality allows you to create TIFF images directly from any Windows application without the need of creating a hardcopy print – these images can, in turn, be automatically routed to a basket or stored directly to a DocuWare file cabinet.

Retrieval of specific documents can be accomplished in a matter of seconds. You can search for any document by storage date, assigned keyword(s) and even by full-text retrieval, which looks for words or numbers found in the complete body of a document. Multiple users can access the same document simultaneously, so a document is never unavailable. Once stored in the DocuWare system, documents can never be lost or misfiled. The DocuWare viewer displays color and black and white documents, as well as, the most popular PC files.

DocuWare provides extensive auditing capabilities for all documents stored in the system. Documents stored with DocuWare are protected against any unwanted manipulation. This security feature is based on a sophisticated check sum mechanism, which uncovers any violation of document integrity. This makes DocuWare the ideal repository for any document that must be safeguarded against illegal modification.

DocuWare can easily import scanned images and indexes that have been created by an outsource service bureau, such as Scan-It, Inc. Scan-It would return the converted records, on CD’s or DVD’s, in a DocuWare file cabinet structure for direct import into the system.
